The Back-to-Busy Clinic Reset: 7 Things to Clean Up Before Fall

Summer always seems to bring a bit of a shift in clinics. Practitioners take vacation, clients are away, schedules move around, and things can feel just a little quieter.


And then September hits.


Suddenly, schedules are filling back up, clients are getting back into their routines, the inbox is busier, referrals are coming in, and all of those little admin tasks that were manageable over the summer start piling up again.


Before things get really busy, now is a great time to do a quick reset behind the scenes.

Here are 7 areas I recommend looking at as your clinic heads into the fall.


1. Clean Up Your Inbox & Voicemail

If your inbox has become a mix of messages you've answered, messages you meant to answer, appointment requests, practitioner emails, billing questions and things you've been saving for later... start here.


Go through anything outstanding, create folders or labels where it makes sense, and make sure there aren't client requests sitting unanswered.


Do the same with your voicemail.


This is also a good time to think about how often your inbox and voicemail are actually being checked. As your clinic gets busier, having a consistent process for responding to clients can make a huge difference.


2. Check Your Outstanding Billing

Take a look at any unpaid invoices, declined payments, outstanding insurance claims or balances that still need to be followed up on.


These are SO easy to lose track of when you're busy.


A few outstanding invoices here and there might not seem like a big deal, but over time they add up—and the longer you wait to follow up, the harder they can be to collect.


Having a regular billing follow-up process in place going into fall will save you from doing a massive cleanup later.


3. Actually Look at Your Waitlist

When was the last time someone went through your clinic's waitlist from top to bottom?

Are there clients on there who have already found care elsewhere? People who haven't been contacted in weeks? Clients waiting for a specific practitioner when another provider may now have availability?


Your waitlist should be something you're actively working with—not just a list of names sitting in your system.


Fall is a great time to reconnect with those clients and make sure you're filling available appointments where you can.


4. Catch Up on Recalls & Follow-Ups

This is one of those tasks that can quietly fall to the bottom of the list.


Think about clients who were supposed to book a follow-up, patients who haven't been seen in a while, outstanding forms, referrals that need follow-up, or anything else your clinic has been meaning to circle back to.


A simple recall system can help keep clients from falling through the cracks while also helping practitioners maintain fuller schedules.



5. Review Your Intake Process

Pretend you're a brand-new client trying to book with your clinic.


What happens?


Is it easy to figure out who to contact? Are your intake forms current? Do clients know what to expect before their first appointment? Are forms being sent manually every single time when they could be automated?



Your intake process is one of the first experiences a client has with your clinic, and busy season tends to expose any unnecessary steps pretty quickly.

If something feels clunky now, imagine how it will feel when you're processing twice as many inquiries.


6. Look at Your Practitioners' Schedules


Before everyone's calendars get packed, take a few minutes to look ahead.


Are practitioner hours correct? Are vacations and days off blocked? Are appointment types and lengths accurate? Are there random gaps that could be filled from the waitlist?


Small scheduling issues can turn into big headaches when a clinic is busy.


Getting ahead of them now makes September and October much easier for everyone—your practitioners, your admin team and your clients.


7. Pay Attention to What's Already Feeling Overwhelming


This might actually be the most important one.


What are you already putting off?


Maybe it's your inbox. Maybe it's billing. Maybe you're answering client messages between appointments or logging back into your computer at 9 p.m. because you didn't get through everything during the day.


Those are usually the first signs that something behind the scenes needs to change.

And it doesn't necessarily mean you need to completely overhaul your clinic.


Sometimes you just need better systems. Sometimes something can be automated. And sometimes you've simply reached the point where certain tasks need to come off your plate.


Your Clinic Shouldn't Have to Feel Chaotic Just Because It's Busy


A busy clinic is a good thing.


But more clients naturally means more emails, more appointments, more invoices, more paperwork and more follow-up—and if the admin side of your clinic doesn't grow with it, things can get overwhelming pretty quickly.


Take an hour before fall really gets going and look at what's happening behind the scenes.

What's working?


What's constantly being pushed to tomorrow?


And what are you still doing yourself that you really don't need to be?
