What We’d Fix First If We Walked Into Your Clinic Tomorrow

Let’s say The Admin Edit walked into your clinic tomorrow.

We get access to the inbox, scheduling system, voicemail, billing, forms, policies — all of it.

Where are we looking first?

Probably not where you think.

We’re not coming in and immediately changing everything you’ve built. We’re looking for the little things happening behind the scenes that are creating extra work, taking up your time, frustrating your patients, or simply falling through the cracks.

Because sometimes your clinic doesn’t need a complete overhaul.

It just needs a really good admin reset.

Here’s where we’d start.

1. Your Inbox

First stop: the clinic inbox.

How many emails are sitting unanswered? Are patient requests being responded to consistently? Are important messages getting buried under appointment notifications, receipts, newsletters and random automated emails?

And the big one: does everyone know who is responsible for what?

A busy inbox isn’t necessarily a problem. An inbox without a system is.

We’d look at folders, labels, response times, templates and workflows to make sure emails are actually being dealt with — not just opened and forgotten about.

2. Your Voicemail

Next, we’re checking the phone.

Are voicemails being checked consistently throughout the day? How quickly are calls being returned? Is there a process for documenting calls and following up?

Because nothing says “I’ll deal with that later” quite like a voicemail notification.

Until suddenly there are 17 of them.

Having a simple process for checking, documenting and returning calls can make a huge difference for both your admin team and your patients.

3. Your Schedule

Then we’re opening the calendar.

And we’re looking at more than whether your practitioners are booked.

We want to know:

Are there weird gaps that could have been filled?

Are cancellations being followed up on?

Is there a waitlist — and is anyone actually using it?

Are rooms being used efficiently?

Are appointment types, buffers and availability set up properly?

A schedule can look busy while still leaving a lot of opportunity on the table.

The goal isn't necessarily to cram more appointments into the day. It's to make the schedule work better for the clinic, the practitioners and the patients.

4. The Things You’re Still Chasing

Forms.

Credit cards.

Intake paperwork.

Insurance information.

Outstanding balances.

Referral documents.

That one patient who said, “I’ll send it tonight!” three weeks ago.

Every clinic has things that need follow-up. The problem starts when those follow-ups live in someone’s memory instead of an actual system.

We’d figure out what your team is constantly chasing and create a clear process around it.

Because your admin shouldn’t have to wake up at 2 a.m. thinking, Wait… did I ever follow up with that patient?

5. Your Billing & Outstanding Accounts

This one can get uncomfortable quickly, but it matters.

We’d look at what has been invoiced, what hasn’t, what’s outstanding, what needs to be submitted and what requires follow-up.

When a clinic gets busy, billing tasks are surprisingly easy to push to tomorrow.

And then tomorrow becomes next week.

And suddenly there’s money sitting on the table simply because nobody had time to follow up.

A good billing workflow makes sure the work your clinic is doing actually turns into revenue coming through the door.

6. Your Recalls & Follow-Ups

When was the last time someone looked at patients who were supposed to come back… but never did?

Exactly. 👀

Recalls are one of those admin tasks that are incredibly valuable and incredibly easy to forget when the clinic is busy.

We’d look at overdue follow-ups, recommended appointments, unfinished treatment plans and patients who may simply need a reminder.

Sometimes growing your schedule isn't about finding new patients.

It's about reconnecting with the ones you already have.

7. Your Templates

If your admin team is typing the same email 14 times a week, we’re fixing that.

Appointment instructions. New patient information. Billing reminders. Cancellation responses. Form reminders. Referral follow-ups.

There are so many conversations happening repeatedly inside a clinic.

Creating thoughtful templates saves time while still leaving room to personalize the message so patients don't feel like they're talking to a robot.

8. Your SOPs

Finally, we’re asking one very important question:

If your admin disappeared tomorrow, would someone else know how to do their job?

If the answer is “umm…”

We need SOPs.

Your clinic shouldn't rely on one person remembering every password, process, workaround and random little detail that keeps the place running.

We love documenting the actual way things are done — not creating a giant manual nobody will ever open.

Simple. Clear. Useful.

The Goal Isn't Perfection

We work behind the scenes of clinics every day, and one thing we've learned is that admin chaos usually isn't caused by one massive problem.

It's 20 tiny things.

An email that wasn't answered.

A recall that never happened.

A form nobody followed up on.

An invoice sitting unpaid.

A process that only one person understands.

Individually? Not a huge deal.

Together? They create a clinic owner who feels like they're constantly putting out fires.

That’s why, if we walked into your clinic tomorrow, we wouldn't start by changing everything.

We'd start by finding the friction.

We'd clean up what isn't working, create systems for the things that keep getting missed, and make the day-to-day feel a whole lot lighter.

Because good admin isn't just about answering emails and booking appointments.

It's about creating the systems that allow your clinic to actually run.
